About the position
We’re looking for an Operations Coordinator to join our team! Reporting to our Sr Dir of Business Development & Partnerships, you will provide outstanding daily administrative support and get energized by working in a fast-paced environment. This is a perfect role for someone who takes initiative, is intuitive, and thinks strategically. Although this position may offer some remote work flexibility, this role will be based in our Los Angeles office.
In addition to managing complex calendars, and schedules, you will work with cross-functional global leaders and provide high-caliber administrative support that will help us execute company projects and goals. You will help the team with core tasks that are vital to partnership operations and communicating between accounting, tax, legal and finance. Your creativity, passion, and organizational skills will be critical in supporting team operations across the world. The team is distributed across various locations in the US and across the globe so we are looking for someone that can help build and lead the culture of our team in a remote working environment.
Responsibilities
Own end to end processes for voucher code requests, invoicing and record keeping for the department
Support the Business Development team in delivering against Objectives, goals and Quarterly Business Reviews
Handle daily meeting calendars and facilitate relevant internal and external meetings, help track team deliverables and keeps stakeholders informed
Develop processes to enhance organization, documentation of best practices
Ensure responsiveness for timely communication and takes initiative to keep stakeholders informed
Communicate with engineering and member experience teams to ensure partnerships operate in a healthy and sustainable fashion
Prioritize, multi-task, and handle a continuously evolving environment
Work independently at a fast pace, with a strong personal dedication to meet timelines
Support projects and communication by providing status updates and ensuring that cross-functional partners are included in meetings and communications
Work with department leaders to establish an effective budget allocation to cover team needs, managing team budgets and coordinating expense management
Build and manage an organized department library of resources and documentation and identify any gaps with stakeholders.
Take charge in running meetings and driving the team towards action. Every meeting should conclude with action items and clear division of responsibilities
Qualifications
2 years of Administrative experience, preferably in a progressive, high-growth, and results-oriented environment
Experience supporting global teams is a plus
Experience with Google-Suite (Gmail, Calendar, Docs, etc.) is preferred
Demonstrated communication and presentation skills, with an ability to express high-level concepts efficiently and optimally to a wide range of audiences
Ability to thrive in a fast-paced environment, think creatively, and produce innovative solutions
Positive relationship management skills and the ability to effectively interact with a diverse set of partners
Comfort and familiarity in dealing with highly confidential information
Strong verbal and written communication skills
Ability to adapt to changing priorities
Strong project management skills
Excellent time management skills
